Employee Onboarding¶
Streamline the new hire setup process with automated onboarding workflows.
Overview¶
The onboarding system helps you:
- Collect new hire information digitally
- Track document completion
- Automate system access provisioning
- Monitor training progress
Adding New Employees¶
Quick Add¶
- Go to Employees in the dashboard
- Click Add Employee
- Enter basic information:
- First and last name
- Email address
- Phone number
- Store location
- Start date
- Role/position
- Click Save & Send Invitation
The employee will receive an onboarding email with instructions.
Bulk Import¶
For multiple new hires:
- Go to Employees > Import
- Download the CSV template
- Fill in employee information
- Upload the completed file
- Review and confirm
Onboarding Workflow¶
Employee Steps¶
New employees complete these steps through their onboarding portal:
- Accept Invitation - Click link in welcome email
- Personal Information - Verify and complete details
- Emergency Contact - Add emergency contact info
- Tax Forms - Complete W-4 and state tax forms
- Direct Deposit - Enter banking information (optional)
- Availability - Set work availability
- Acknowledgments - Review and sign policies
Manager Visibility¶
Track onboarding progress from the dashboard:

| In Progress | Employee has started onboarding |
| Pending Review | Completed, needs manager review |
| Complete | Fully onboarded |
Document Collection¶
Required Documents¶
Configure which documents are required:
- Go to Settings > Onboarding > Documents
- Enable/disable document types
- Set which are required vs. optional
Common Documents¶

Document Storage¶
All submitted documents are:
- Stored securely
- Accessible to authorized managers
- Retained per legal requirements
System Provisioning¶
When onboarding completes, the system automatically:
- Creates employee login credentials
- Assigns to correct store location
- Sets up scheduling profile
- Enables time-off access
- Sends welcome email with login details
Training Tracking¶
Training Checklists¶
Create training checklists for new hires:
- Go to Settings > Onboarding > Training
- Create checklist items
- Assign to positions/roles
Tracking Completion¶
Managers can track training progress:
- Go to Employees
- Select the employee
- View Training tab
- Mark items as complete
Customization¶
Custom Fields¶
Add custom fields to collect additional information:
- Go to Settings > Onboarding > Custom Fields
- Click Add Field
- Configure:
- Field name
- Field type (text, date, dropdown, etc.)
- Required or optional
- Position in form
Welcome Message¶
Customize the welcome email:
- Go to Settings > Onboarding > Email Templates
- Edit the Welcome template
- Use merge fields for personalization
Resending Invitations¶
If an employee didn't receive or lost their invitation:
- Go to Employees
- Find the employee
- Click Resend Invitation
Email Issues
Ask employees to check spam/junk folders if they don't see the invitation.

- Verify email address is correct

Onboarding stuck in "Pending Review"?
- Manager needs to review and approve
